Grant Administrator

Position Purpose

The Grant Administrator will create and administer financial systems and processes to ensure BBBSA’s success in being compliant with all Federal, Corporate and Foundation grant requirements including internal and external reporting. Track and monitor Federal, Corporate, and Foundation sub recipients’ financial performance to ensure compliance with their Memoranda of Understanding goals and grant deliverables; and, collaborate with the Chief Financial Officer by providing support in the review of financial management requirements.

Essential Duties and Responsibilities

  • Provide training and support to grant sub-recipients regarding financial requirements, reporting, coding and compliance.
  • Maintains processes used to track and document BBBSA’s fulfillment of Federal, Corporate, and Foundation financial requirements.
  • Conduct financial monitoring of sub-recipients in accordance with their MOA’s and grant agreement.
  • Work with other BBBSA staff and sub-recipients to ensure understanding of all federal guidelines and compliance.
  • Ensure all internal controls, federal requirements and sub-recipient policies are maintained.
  • Communication of the proper allocation of staff time to each grant by maintaining allocation sheet as a percentage of time to be coded.
  • Prepare monthly invoices for reimbursement grants, indirect cost allocations and tracking of payments.
  • Assist with quarterly preparation of FFR reporting by collection of data to be reported.
  • Lead in the preparation of month to month grant budgets as well as monitoring actual to budget including major budget changes.
  • Provide internal and external monthly grant financial reporting, monitoring and discussing with the Chief Financial Officer any Corrective Action Plans needed.

Education & Related Work Experience

Education Level:  Bachelor’s Degree in accounting required.
Years of Related Work Experience:  3-5 year’s experience monitoring and administrating grants with a minimum of 2 year’s experience with federal grants.

Required Preferred
Strong data analysis skills



Intermediate MS Outlook, Word.



Intermediate to Advanced Excel



Knowledge of Federal Grant Guidelines



Knowledge of Sage Fund Accounting
