CURRENT POSITIONS AVAILABLE

Customer relations/administrative assistant

Elizabethtown, KY

Full-time position, 35 hours a week, reporting directly to the Program Team Leader or Branch Director. Located in our Hardin Co. Branch office at 617 N. Mulberry, Suite 23, Elizabethtown, KY 42701.

This position is responsible for providing high-level customer service in response to all customer and stakeholder inquiries and leads.  May be responsible for marketing BBBS programs through telemarketing recruitment and outreach. 

Performance Measures: The successful incumbent will produce positive outcomes in the following areas:  volunteer yield and processing time; youth yield; youth/parent processing time; customer satisfaction, and quality ratings in customer relations processing leading to high match retention.  

Education/Work Experience: High School diploma or GED with 2 years prior sales with customer service experience or BA with marketing, sales or communication experience.

Responsibilities

1.  All customer and stakeholder contacts are marked by an atmosphere of engagement and motivation.   

  1. Ensure that all volunteers receive an engaging, positive and personalized sales phone response promoting BBBS programs.    

a.      Effectively move the volunteer from the point of first contact to active enrollment.

    1. Determine the best way to get volunteer investment in the enrollment process.
    2. Identify and eliminate any barriers interfering with the initial enrollment process. 
    3. Follow process through to next point of contact.
    4. Obtain preliminary contact information and schedule enrollment interview within prescribed time frame.
  1. Send forms or program information as needed to volunteers, families or school administrators.
  2. Collaborate with other service delivery staff to ensure smooth transition among functions.
  3. Respond to all volunteer and parental calls regarding the enrolled status (or that of their children).  Insure that all such inquiries receive prompt and informative response. 
  4. Respond to all calls requesting general information; communicating basic information, flexibility and volunteer choice.
  5. Persistently and accurately track and maintain recurring contact with potential volunteers and families who have not yet begun the enrollment process.
  6. Check references and conduct criminal and child abuse background checks for volunteers.  Establish the legal identity of the volunteer through original documentation. Immediately bring to the attention of Enrollment and Match Specialist any concerns surfacing during reference checking that may influence the volunteer enrollment process. 
  7. Promote BBBS and present volunteer options to references. Promote agency fundraising events including Bowl For Kids’ Sake.
  8. Enter all inquiries and pertinent data into database, ensuring accuracy and timelines of information systems
  9. Type correspondence at staff request
  10. Type staff meeting minutes, reports and other items as requested
  11. Assist with Bulk Mail-outs
  12. Create and record sign-up sheets for events and file as needed
  13. Provide AIM reports/labels to staff as needed
  14. Ensure all forms are available to staff
  15. Assist in entering Bowl For Kids’ Sake pledges/sponsors and payments in Ready Set Bowl or appropriate program

Performs other duties as assigned

Other Requirements: Routine office environment.  Flexible work hours, including evenings and weekends to meet customer needs

TEMPORARY FINANCE AND HUMAN RESOURCES MANAGER

Part-time position, 15-20 hours a week from approximately October – December 2009, that reports directly to the Chief Executive Officer. 3-4 days in August/September would be needed for training. Located in our central office at 1519 Gardiner Lane, Louisville, KY 40218.

Requirements

§         2 years Accounting/Auditing/ Payroll/Finance administration

§         Knowledge of Peachtree accounting software and computer systems

§         Good communication and problem solving

§         Knowledge of non-profit organization helpful

Finance Responsibilities

§         Monitor cash flow weekly to ensure that balances are adequate –Compare budget vs. actual monthly to ensure that revenues and expenses are on track

§         Responsible for monthly closing of financial reports (interfund transfers, payroll/expense allocations, monthly journal entries)

§         Work with grant writer to submit Grant Reimbursement requests and to monitor Grant Expenditures

§         Work with auditors to wrap up audit

§         Prepare for and organize finance committee meetings

§         Maintain accounts receivable/payable

§         Maintain Peachtree

§         Prepare and make deposits

§         Delegate the reconciliation of bank statements

§         Manage all business insurances/renewals

§         Other duties as assigned


Human Resource Responsibilities

§         Transmit payroll and payroll taxes electronically

§         Prepare payroll tax returns monthly/quarterly

§         Maintain leave time records on employees

§         Responsible for assisting in administering 401k plan and other benefits including health, life, and disability insurance

§         Responsible for adding new employees to system along with proper paperwork completed and filed.

§         Responsible for administering unemployment claims.

§         Post job listings and maintain and organize resumes submitted

§         Meet with new employees to review personnel policies and orientation materials

§         Conduct exit interviews
